Why has my payment not been authorised ?

 

 

We do not know why your payment has not been authorised. This is something that you may need to contact your bank about.

If you are attempting to make payment for a substantial amount (e.g. paying in full for Tuition and Accommodation Fees ) this may be over your daily limit. Try paying for them separately on different days , or contact your card issuer to amend the limit.

If you are on campus you can make payment in person at the Student Service Point. Card issuers apply different rules for payments made via the web to those made in person.

Who can make payments ?

 

 

 

Students can use epay to pay their fees.

Additionally payments can be made by parents or other supporters. The same information about the student will still be required in order to use epay.

The details that we check in the opening pages are designed to ensure that the payment is allocated to the correct Student Fees Account rather than to restrict who can make a payment.

epay can also be accessed by Students through Campus Connect. Details of outstanding items are presented on screen and can be selected for payment in full or in part. This option is restricted to the Student in person.

Correct details but can't access the service ?

 

 

 

 

If you know that the "Student Number" and "Date of Birth" details you are entering are correct but cannot access the service it may be that the service is not currently available.

The system is available for use at most times of the day and night.

It is not available when a security copy of the student database is being taken. This means that for a period of a few hours each night the system is unavailable.

Please try again at another time.

What can I make payments for using epay?

 

 

 

 

 

We only accept payments via the web for Student Fees where a Student Fees Debtor Account exists in our Finance System.

  • If you do not have a Student Fees Debtor Account you will be unable to make a payment.
  • If you are a student and do have an account only make payments for
    • Tuition and Accommodation Fees or other related charges
    • Exam resit fees

DO NOT use the service to pay for Departmental Purchases or Library charges etc as this will substantially delay your payment being correctly allocated.

What about Security ?

 

Thawte Digital Certificate

The pages in which you enter payment information are secured using SSL (Secure Socket Layer) technology provided by Thawte.

If you would like to confirm that our Thawte Digital Certificate is valid click on the icon in the payment pages and find out more about the security provided.

You should also check that :

  • the website address in which you enter your card details starts with 'https'
  • and that there is a padlock at the bottom of your screen.

Both are required to make sure your data is secure.

Where can I find my Student Number ?

 

 

 

The Student Number is the nine digit number (e.g.100123456) used in the College's student record system.

If you are already a Student at Royal Holloway your Student Number can most easiliy be found :

  • On your College Card (Exclude the issue number 01, 02 etc which precede the number on the card 01123456)
  • To convert the old 6 digit numbers to the current 9 digit student number add 100 in front of the 6 digit number e.g "123456" becomes "100123456
  • On an Invoice or Statement from the College for Tuition or Accommodation Fees. The number may be preceeded with an "H".
 
How can I find out my Student number if I'm not yet a student?

 

 

 

If you are not yet a student at Royal Holloway but need to make a payment to the College you still need to use the Student Number that has been allocated to you.

Your Student Number will be advised to you by the College. It is not your UCAS number! You can most easily find it on the documentation sent to you by the College about your enrolment.

By the time you receive correspondence from the College containing your student number an account using the same number should also be set up on the College's Finance system.

Applicants for the Academic Year 2005/06 onwards will be notified a Student Number that is 9 digits. e.g.100512345. When accessing epay enter all 9 numeric digits i.e. 100512345. Current Students should use their existing 6 digit number.

If you know that the "Student Number" and "Date of Birth" details you are entering are correct but cannot access the service it may be that the service is not currently available.

Suggested course of action

  • Retry at another time. It may be that the system is temporarily unavailable.
  • Include the following information in the email
    • The date and time when you tried to use epay
    • The "Student Number" you entered
    • The "Date of Birth" you selected
    • Your name and contact details. If you are a supporter such as a parent,guardian or sponsor rather than the student please say so and include the name of the Student whose Fees you were trying to pay.
  • When the details email have been investigated the Fees Office will respond appropriately. In order to protect confidentiality of our students this will normally be directly to the Student or prospective Student.

No Student Number Details Received from the College

 

 

 

 

 

It is possible that we may not be in a position to receive payment for Fees from you because your application is not sufficiently progressed.

Suggested course of action

  • Contact the Admissions Department at the College with whom you may have already had contact.

    Explain that you want to make a payment but cannot do so because you do not have a Student Number or possibly no Student Fees Debtor Account set up in the Finance system.

  • If you believe that documentation from the College about your application may have gone missing in the post contact the department you have been dealing with.

If you enter an email address when requested, epay will email you an acknowledgement of your payment when it is complete. This includes the receipt and reference number that will be useful if you need to speak to Fee Office staff about the payment.

If no email address is entered make sure that you have a record of the Receipt and Transaction numbers displayed on the screen after your payment has been authorised.

RCS Account Payments - Students

 

Instant RCS Account top up - Student RCS Account holders

You can put money on to your RCS Account via a separate system,Upay.

Payments made via the online top up system will be instantly credited to your RCS Account

To set up your account click

"Create a new account" and enter the following details:

Client ID: 76

User ID: The last six digits of your Student/College Card number

Follow instructions on screen to set up your account

This method is password protected and is intended for use by the Student RCS Account holder only.

We are unable to accept exam resit fee payments by card over the telephone.

exam resit fees ?

 

 

You will be separately advised by the Examinations Office of the amount to be paid as exam resit fees together with the procedures to be followed.

If you elect to pay using epay ensure you enter the total value of the payment you wish to make in the 'Other Services' section and then select 'Exam Fee' from the category list. (If you do not do this, your payment will not be identified as being your exam resit fee.)

EPAY will generate an instant transaction receipt for you. Please retain this receipt and write the EPAY transaction number in the box provided on Section 3 of the form issued by the Examinations Office.

We are unable to accept exam resit fee payments by card over the telephone. If you find that you cannot use the Epay service please contact the Examinations and Timetabling Office direct.
